Privacy Policy

Minerva Research, Inc.

Effective Date: October 1, 2024 (Calendar Integration section added July 1, 2026)

Welcome to Minerva! Your privacy is critically important to us. This Privacy Policy outlines how Minerva ("we," "us," or "our") collects, uses, and protects your information when you use our website and services.

Information We Collect

  • Personal Information: We collect information that you voluntarily provide to us, including your name, email address, and professional details when you sign up for our service or newsletter.
  • Usage Data: We automatically collect information when you use our services, such as your interactions with our AI tool, conversation preferences, and engagement metrics.
  • Conversational Data: For the effective functioning of Minerva, we collect and analyze the content of the conversations you practice or engage in with our AI tool.
  • Calendar Data: If you choose to connect a Google or Microsoft calendar, we access limited calendar information as described in "Calendar Integration" below.

How We Use Your Information

  • Service Provision: To deliver personalized coaching and feedback based on your conversational data.
  • Improvement and Development: To enhance Minerva's features and user experience.
  • Communication: To contact you with updates, offers, and promotional content related to Minerva, if you opted in.

Calendar Integration

Minerva offers an optional feature that connects to your Google or Microsoft calendar so we can automatically detect upcoming video meetings and join a coaching bot on your behalf, without requiring you to manually invite it to each meeting. This feature is off by default and only activates if you explicitly connect a calendar account.

  • What we access: With your permission, we request read-only access to your primary calendar (Google's calendar.readonly scope, or the equivalent read-only Microsoft Graph calendar scope). This lets us read event titles, start and end times, organizer and attendee names/emails, and video-conferencing links (e.g., Zoom, Microsoft Teams, Google Meet). We cannot create, modify, or delete events on your calendar.
  • What we store: We store only the meeting metadata needed to schedule and identify the coaching bot's join (event title, time, video-conferencing link, and organizer/attendee identifiers) along with a sync token used to detect future changes. We do not mirror or retain your full calendar, and we do not access events that lack a supported video-conferencing link.
  • Retention and deletion: Calendar-derived meeting metadata is retained only as long as needed to provide the service and is deleted when you disconnect the calendar or delete your Minerva account. You can disconnect a connected calendar at any time from your Minerva profile settings, or revoke Minerva's access directly from your Google Account (myaccount.google.com/permissions) or Microsoft account permissions.
  • How we share it: We do not sell calendar data, use it for advertising, or share it with third parties except the service providers strictly necessary to operate this feature (for example, our meeting-bot provider, to dispatch a bot to the meeting's video link).
  • Minerva's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Data Sharing and Disclosure

  • Service Providers: We may share your information with third-party service providers who perform services on our behalf.
  • Legal Requirements: We may disclose your information if required to do so by law or in response to valid requests by public authorities.
  • Business Transfers: In the event of a merger, acquisition, or asset sale, your Personal Data may be transferred.

Data Security

We implement robust security measures to protect your data from unauthorized access, alteration, disclosure, or destruction.

Your Privacy Rights

  • Depending on your location, you may have rights under applicable data protection laws, including the right to access, correct, delete, or restrict the processing of your personal information.
  • To exercise these rights, please contact us at [email protected]. We will respond to your request in accordance with applicable laws, typically within 30 days.
